Created in 2003 by Pierre-Edouard Sterin, Smartbox is now present in eleven countries (France, Italy, UK, Spain, Belgium, Switzerland, Netherlands, Sweden, Denmark, Germany, and Ireland) with seven brands, has 800 employees and generates around €500m of business volume with four main product categories:

  • Stays (Hotels, B&B)
  • Gastronomy
  • Wellness – Beauty and Spa
  • Adventure activities – Driving; parachuting, etc.

The multi-brand and multi-channel distribution strategy makes the business model highly complex. The product is distributed via different channels: Retailers (Fnac, Carrefour, Leclerc, Auchan, El Cortes Ingles, Mediamarket, Bookstores etc.), Internet, own retail stores, and B2B. Currently, 75% of the revenue comes from the retail channel, 20% from online and 5% from B2B.

The market still has 2-3 times growth potential over the next 10 years, and Smartbox’s ambition is to double revenue within the same period, both by organic growth and continuing with acquisitions. The company is already the “Amazon” of experience gifts with a 50% European market share. While growth rates are higher in the online channel, the retail channel is also growing and is still seen as the dominant distribution channel going forward.

The culture of the company is dynamic and entrepreneurial. This phase of the company’s growth and development affords a great opportunity to help shape and scope its future. As the company matures there is a need for new structures and disciplines to support the growth.

The Role

We are looking to recruit a role to co-ordinate the flow of order data to and from our 3PL network and to manage all inventory reporting and stock counting for our 3PL’s. A our supply chain is made up of the following:

  • 400 SKUs distributed to 12,000 points of sale in 11 countries
  • 8 third party logistics operations in 8 different countries
  • 10% of our orders come from our on-line business.
  • 30% of sales in the last six days before Christmas supported by significant off shelf display units (Box Pallets) creating a spike in 3PL capacity requirements in September, October and November
  • The nature of the product itself, slow moving with a large number of SKUs per store
  • Multichannel transport challenges from single box shipments to full trucks of pallets and various requirements for track and trace data
  • Stock is distributed in retail under consignment giving great opportunity for visibility through the chain but also creating challenges around retailer engagement and stock counts

Given these facts Logistics play a crucial part for the company’s success. The growth agenda has implications to the future footprint and structure of Smartbox’s supply chain. The ambition is to create a strong, centrally led supply chain organisation that can help take Smartbox to the next level.

Reporting to the Head of Logistics, the Logistics Coordinator ensures logistics, stocks and orders are operating smoothly across the company’s supply chain. Working closely with in Market Business Units, 3rd Party Logistics platforms and HQ teams to deliver this.

Key Responsibilities :

Manage logistics processes and orders:

  • Understand Logistics Process across all of the platforms and monitor that these functions are operating correctly.
  • Manage orders from all channels to make sure that they integrate correctly with the 3<sup>rd</sup> Party Warehouses
  • Manage rejected orders and the reasons for their rejection.
  • Will be required to help with delivery follow up to monitor, resolve and report on all shipments.
  • Communicate daily reports across sales teams, customer service teams and senior stakeholders.
  • Coordinate and reporting all inventory counting across the 3PL platforms.
  • Monthly reporting of logistics and inventory KPI’s.
  • Support Continuous Improvement Projects across the 3PL network.

Assist in the implementation of stock and logistics projects:

  • As we implement AX as our new ERP and Relex as our new Planning Tool we will need to support this project in everyway
  • The data flows between our systems and the 3<sup>rd</sup> Party Warehouse systems will be changing and we will need to insure that they are operating correctly
  • We will be implementing a new warehouse in Ireland during September for the roll out to Ireland in Oct 2018.
  • Assist in managing our product roll out in September and our Christmas Displays in November as these are critical to deliver our sales targets.

Candidate Profile

  • Experience and Functional Supply Chain skills
  • Minimum of 3 years relevant experience with proven track record of managing matrix style organisations
  • A background in warehouse admin or 3PL co-ordination
  • Fluent in a European language particularly French or Italian would be an advantage.
  • Relevant supply chain or business third level education is required and Lean Manufacturing or Six Sigma qualification.
  • Motivated by challenge and ability to work in fast-paced environments, with seasonal periods of activities
  • Ability to manage multiple tasks, self-motivated with ability to complete tasks on time
  • Knowledge of logistics and stock flows, supporting local subsidiaries
  • IT oriented with strong analytical and problem-solving skills
  • Excellent communication and organisational skills with high attention to detail
  • Proficient in the use of MS Office tools (mainly Excel, Power Point)
  • Experience working with file and web based information transfers an advantage particular .txt and .csv files.
  • Strong system ERP experience especially Microsoft AX
